How to use EbizDash

From your first vendor file to products live in your Shopify store. Follow the sections in order the first time; after that, jump straight to what you need.

01

Create your account and workspace

A workspace holds one Shopify store and all of the vendors that supply it. You are its owner.

  1. 1
Click Get started. Sign up with Continue with Google, or enter your email and a password of at least 8 characters and click Create account.
  2. 2
If you signed up with email, open the confirmation email and click its link. You come back to EbizDash signed in.
  3. 3
On the Home page, type a Workspace name (your store’s name works well) and click Create workspace. You can leave the Shopify domain empty and connect the store later.
  4. 4
Home now shows Get your catalog running: six steps from your first vendor file to live products. Its button always opens the next step you still need to do, and the list disappears once everything is done.

Good to know

  • Forgot your password? Click Forgot password? on the sign-in page. The reset link works once and expires after an hour.
  • To change your name or password, click your picture at the top right, then Workspace settings and the Profile tab.

02

Add your AI key

EbizDash writes product content with your own AI account, so AI usage is billed by your AI provider, not by EbizDash.

  1. 1
Click your picture at the top right, then Workspace settings, then the AI Provider tab.
  2. 2
Choose your Provider: OpenAI, Anthropic (Claude), Google Gemini or OpenRouter.
  3. 3
Create a key on your provider’s website, paste it into API key and click Save key. The key is stored encrypted and is never shown again.
  4. 4
Click Check provider status. A “Connected” message means EbizDash can use your key.
  5. 5
Optional: in AI writing, enter your Store name. The AI then ends meta titles with it, for example “Yamaha Jet Drive Conversion 50-60HP | Mariners Warehouse”.

Good to know

  • Models (optional) lets you pick which model writes your content. If you are not sure, leave it on Provider default.
  • Store writing rules are instructions the AI follows every time it writes for your store, such as “Start titles with the brand”. Add them here, or save one straight from an AI rewrite you like.
  • Spending and credit limits are set in your AI provider’s own account. EbizDash cannot see them.

03

Add a vendor and import a file

Create one vendor for each supplier, then import their product file: CSV, Excel, XML, JSON or text files up to 100 MB.

  1. 1
Open Manage vendors → Vendors and click Add vendor. Enter the Vendor name, choose Manual upload only as the Source type if the vendor sends you files, and click Create vendor.
  2. 2
Open Manage vendors → Import catalog, choose the vendor and pick the file. Choose Full feed for a complete product list, or Changes only for an update file.
  3. 3
Check the Column mapping: for each vendor column, look at the sample value and pick the matching Catalog field, or Ignore. Suggest mappings lets the AI fill it in. Make sure the vendor SKU column is right, then click Confirm template. The next file from this vendor is mapped the same way.
  4. 4
Click Import records. Large files keep importing in the background, so you can close the page and come back.
  5. 5
You then see how many products are new, changed and unchanged. Click Compare on any row to see what the vendor gave next to the prepared value. When you are done, click Move to Step 2: AI preparation.

Good to know

  • Every imported file appears on the Pipeline page, which follows it through five steps: Import, AI prepare, Validate, Approve and Release. Click a step to open it.
  • Rows without a SKU are listed so you can assign one. If a SKU appears twice, the first row is used.
  • If a full feed has less than half of the vendor’s previous products, EbizDash asks you to confirm the file is complete. Products missing from a file are never deleted.
  • Vendors who publish files online or by email: pick their source type when you add them, then click Source on the vendor to enter the details and an optional fetch schedule. You still check the columns before any rows are imported.

04

Prepare products with AI

The AI finds missing or weak content and proposes titles, descriptions, SEO text, images and specifications. Nothing changes until you approve it, and it never touches web addresses, barcodes, part numbers, sizes, weights, safety claims or prices.

  1. 1
Open Pipeline, click your file, then click AI prepare in the step bar.
  2. 2
Under Guided preparation, click Run preparation. Four steps run one after another (Detect gaps, Prepare content, Prepare SEO, Review proposals) and each turns green when it is done.
  3. 3
Open the Suggestions tab. Each card shows the Current text next to the AI suggested text. Click Approve & apply, Edit first, Reject or Regenerate.
  4. 4
To change many products the same way, use Rewrite with AI on the Products tab: tick the fields, type your command (or click the microphone and say it), click Try on 5 products, check the result, then run it on the rest. Happy with it? Click Happy with this? Save as a store writing rule and the AI follows it for every product from now on.
  5. 5
When the score at the bottom reaches 60, click Proceed to Validation.

Good to know

  • The AI aims for titles of 55 to 80 characters, meta titles up to 60 characters (70 with your store name) and meta descriptions of 140 to 160 characters, without filler words such as “unlock” or “seamless”.
  • To fix one field, open the product with Compare or Details, find the field under All fields and click Rewrite with AI. Say what to improve, then click Use this. Tick Save this instruction as a store writing rule to reuse it.
  • Suggested images wait in Image Candidates. An existing image is only replaced after you approve the new one.

05

Fix problems in the final checks

The Validate step checks every product for anything Shopify or Google would reject, such as a missing meta description, a title that is too short or a missing web address.

  1. 1
Click Validate in the step bar. The checks run on their own the first time; click Re-run checks after you change something.
  2. 2
Read Problems to fix. A problem shared by many products is listed once, with the number of products. Red problems must be fixed, amber warnings must be fixed or accepted, and blue ones are suggestions.
  3. 3
For text problems, click Fix with AI, add an instruction if you like, and click Write with AI for … products. Untick any result you don’t want, then click Use … selected. The checks run again by themselves.
  4. 4
For other problems, click the product’s title to open all its fields and correct the value, or click Mark resolved when it is not a real problem. Click Acknowledge all warnings to accept the remaining warnings.
  5. 5
When the status says Ready for approval, click Proceed to Approval.

Good to know

  • In a product’s field list, hover over a field’s problem tag to see exactly what is wrong and how to fix it.
  • Each product’s web address (its link in your store) is created and then locked, so links to your store never break. A missing or changed web address blocks approval until it is fixed.
  • Synced means the product is live in your store with these values. Resync needed means it changed in EbizDash after it was sent; approve and release it again to update the store.

06

Approve products

You decide which prepared products go to your store.

  1. 1
Click Approve in the step bar. If the list is empty, click Add products for approval and choose products that passed the final checks.
  2. 2
Click Details on a product to see every field: what the vendor gave next to what EbizDash has now. You can still rewrite any field with AI there, including the Google title and description.
  3. 3
Click Approve or Reject on each row, tick several rows to decide at once, or click Approve all ready.
  4. 4
Click Move to Release once every product has a decision, or Release approved so far to go ahead with the approved ones now.

Good to know

  • Approved products are kept in Catalog → Master catalog, with their quality score and locked web address.
  • EbizDash saves a copy of your catalog before approvals and releases. You find these copies under Operations → Recovery snapshots.

07

Connect your Shopify store

Connect your store once your first products are approved. EbizDash only changes products that you approve and release.

  1. 1
Click your picture at the top right, then Governance, then the Shopify tab. The Connect Shopify button on the Home checklist opens the same place.
  2. 2
In Store domain, type your store’s myshopify address, for example your-store.myshopify.com. You find it in Shopify under Settings → Domains. Your own domain (such as yourstore.com) does not work here.
  3. 3
Click Connect Shopify. Shopify asks you to approve access: EbizDash can see and edit products, see and change stock levels, and see your store locations so it knows where to set stock.
  4. 4
After you approve, Shopify sends you back to EbizDash, where the Shopify tab shows Connected with your store.

Good to know

  • Finish the Shopify screen within 15 minutes. If it expires, click Connect Shopify again.
  • EbizDash finds products that are already in your store by SKU, then barcode, then vendor SKU, and updates them instead of creating copies.
  • Disconnect stops releases until you reconnect. Reconnecting the same store updates the existing products; it never creates duplicates.

08

Release products to your store

Releasing sends approved products to Shopify. You see exactly what will change before anything is sent.

  1. 1
Click Release in the step bar. The preview shows what will happen to each product: New in store, Update, No change, On hold or Blocked, with the reason.
  2. 2
Click Release … approved products. The Send to Shopify window opens.
  3. 3
Choose Everything, or Only price and stock for a quick stock update of products already in your store. Check What will change, and click View all fields to compare every value with what your store has now.
  4. 4
If a product’s web address would change, tick it only if you want the new address. The old address keeps working and sends visitors to the new one.
  5. 5
Click Send to Shopify. Small releases finish in seconds and show the results. Releases of 25 products or more run in the background: you can close the window and check them later with Follow release.

Good to know

  • The price of a product that is already live in your store is never changed; only new products get EbizDash’s price. If the two prices differ, you get an alert under Operations → Background work → Alerts.
  • A damaged barcode, such as 7.92E+11 from a spreadsheet, is never sent. EbizDash keeps the store’s barcode if there is one and lets you know.
  • A release that changes more than 10% of your store shows a warning, and 25% or more needs a confirmation phrase.
  • Images, tags and collections are set when a product is first created. Later releases leave them as they are in your store.

09

Send products to Google Merchant Center

EbizDash builds a Google Shopping feed from your approved products. Google titles and descriptions are kept separately, so your Shopify text is never changed.

  1. 1
In the Release step, click Change next to the destination and choose Shopify + Google Shopping. Then click Run Google checks first.
  2. 2
Click Run GMC validation and fix what it finds: GTIN for a missing barcode, Title or Desc and then Generate to have the AI write the Google version, then Approve it.
  3. 3
In Google Merchant Center delivery, click Create URL, then Copy the link straight away. It is shown only once.
  4. 4
In Google Merchant Center, open Data sources, add a scheduled fetch and paste the link. Google then collects your feed on its own schedule.
  5. 5
Click Return to release and release as usual.

Good to know

  • Lost the link? Click Rotate URL for a new one and paste it into Google again. The old link stops working.
  • Download TSV gives you the feed as a file, if you prefer to upload it yourself.
  • Barcodes (GTINs) are never invented by the AI. Products that have not passed every check are left out of the feed, and the page shows why.

10

Choose a plan

Plans are priced by the number of products in your catalog. AI usage is billed by your AI provider, not by EbizDash.

  1. 1
Click your picture at the top right and then Billing, or click the usage meter in the top bar.
  2. 2
Under Plans, click Subscribe on the plan you want:
    • Starter: $50/month, up to 5,000 products
    • Growth: $100/month, up to 25,000 products
    • Scale: $100/month, $100 base + $10 per additional 10k products above 25k
    • Agency: $100/month, $100 platform fee + $50 per client store (50% of standard rate)
  3. 3
Pay in the checkout window. You then see Subscription active, and the Billing page updates within a moment.
  4. 4
To change plan later, click Switch to this plan on another plan and confirm. The change applies straight away, and the price difference for the rest of the month is added to, or credited on, your next invoice.
  5. 5
Use Manage subscription to update your card or download invoices.

Good to know

  • Only the workspace owner can choose or change the plan.
  • Current usage counts every product that has gone through your pipeline. Click Recalculate now to refresh it.
  • If you go over your plan’s product limit, you have a 14-day grace period to move to a larger plan.
  • Payments are handled by Stripe and sold through Link: your receipts come from Link, and the charge on your card statement starts with LINK.COM*. Sales tax or VAT may be added depending on where you are.

11

Find your way around

Everything else is in the menu at the top of every page.

  • Home: your setup checklist, the latest numbers and what needs you next.
  • Pipeline: every vendor file and the step it is on. Click a file to carry on where you left off.
  • Catalog → Master catalog: every approved product with its score, sources and locked web address.
  • Catalog → Pricing, Collections and Discontinuations: price rules that never go below your margin floor, your store’s collections, and products your vendors stopped selling. Nothing is removed without your decision.
  • Automations: choose how much EbizDash does on its own, from Manual to Autopilot.
  • Operations → Background work: imports and releases running in the background, and alerts such as kept prices.
  • Operations → Recovery snapshots: saved copies of your catalog. Restoring one changes EbizDash only, never your Shopify store.
  • The Copilot button at the bottom right: ask questions about your files, scores and approvals.
